Help with Eppetech POS

Short guides that match the screens in the app, answers to common questions, and how to reach us.

Guides

Getting started

What happens the first time you sign in.

  1. Sign in with the account your business owner set up for you.
  2. If you are setting up a new business, you'll be asked to create it; you become its owner.
  3. Choose your branch in the top bar if your business has more than one.
  4. Open Checkout to start selling.

Staff accounts are linked to your business by an owner. Contact us if you need help setting up sign-in for your team.

Scanning products

Three ways to add an item to a sale.

  1. Scan the barcode: the cursor sits in the "Scan barcode or search products…" box, so a keyboard-wedge scanner works straight away. On a compatible Android terminal, use its built-in scanner.
  2. Or type part of the product's name or code into the same box to search.
  3. Or tap the product in the grid.
  4. Use + and − in the Cart to change quantities, or Remove to take an item out.

If a barcode isn't found, the product may not have that barcode yet. Products and barcodes are managed in Eppetech Inventory.

Cash sessions

Open and close your till.

  1. On Checkout, enter your Opening float and choose Open cash session.
  2. Sell as normal. Cash sales and cash refunds update the cash the till should hold.
  3. At the end of your shift, choose Close till, enter the Counted cash, add a note if needed, and confirm.
  4. The difference between counted and expected cash is recorded on the session.

There is no on-screen cash in or cash out yet.

Offline sales and synchronisation

Keep selling on a POS terminal when the connection drops.

  1. Sell as usual. A sale taken offline shows "Saved on this device — awaiting synchronisation".
  2. Open On this device to see sales waiting to sync, and any the server could not accept.
  3. When the connection returns, waiting sales are sent automatically.
  4. A sale flagged during synchronisation (for example a price that changed) is marked for review in Sales.

Offline selling is available in the POS terminal app, not in the browser version.

Returns and voids

Correct a sale after it has been completed.

  1. Open Sales and choose the sale.
  2. To return items, choose Return items, enter how many of each line are coming back, and mark each as saleable (back to stock) or damaged (do not restock).
  3. Choose the refund method. A cash refund comes from your own open cash session; for card or EFT, enter the refund reference.
  4. Enter the reason and choose Process return.
  5. To cancel a whole sale instead, choose Void sale and give a reason. A sale that already has returns can't be voided.

Returns and voids need the right permission. Cashiers don't have it by default.

Device enrolment

Connect a new POS terminal to your business.

  1. An owner or manager registers the terminal in Eppetech Device Manager and receives a one-time enrolment code.
  2. On the terminal, open This device and set the server address if asked.
  3. Enter the Enrolment code and choose Enrol device.
  4. The terminal then checks in regularly, so its status shows in Device Manager.

Enrolment codes work once. Never share them in public channels.

Questions

Frequently asked questions

What do I need to run Eppetech POS?

A POS terminal or a computer with a browser, and an internet connection for set-up. The POS terminal app can keep selling offline; the browser version needs a connection. Talk to us about the terminals, scanners and other hardware that suit your shop.

Does Eppetech POS print receipts?

Not to a physical printer yet. Every sale has a receipt preview you can reprint on screen. Connecting receipt printers is not available yet.

Can I take card payments?

Yes, on your own card terminal. You take the payment on the card terminal and record its approval reference in Eppetech POS. Eppetech POS does not process card payments itself and never stores card numbers.

What happens if the internet goes down?

On a POS terminal, you keep selling. Sales wait on the device and are sent when the connection returns. Reports and stock levels catch up once the terminal is back online.

Can I stop cashiers giving discounts?

Yes. Discounts need the right permission, and the server checks it on every sale.

How do I manage stock and products?

In Eppetech Inventory, a separate app that works with Eppetech POS: products, stock levels, suppliers, purchase orders, goods receiving, reorders and stocktakes.

How do I add a new till?

Your owner or manager registers the terminal in Eppetech Device Manager and gets a one-time enrolment code. You enter that code on the terminal's This device screen.

Can I use Eppetech POS at more than one branch?

Yes. Each branch has its own sales and stock, and staff can be limited to the branches they work at.
